Abstract Submissions

This page describes how to format your abstract and how to submit it electronically. NOTE: The deadline for submitting abstracts is April 1, 2006.

Abstract Format

The language of the Zeolite '06 conference is English, so all abstracts must be written in English. If English is not your first language, we suggest that you have a colleague experienced in English edit your abstract before you submit it. Abstracts must be formatted following the document specifications described below. Abstracts that are not in the correct format will be returned to the author for revision.

The preferred document type for abstracts is Microsoft Word. Format the text in your document using Styles. zeo06_styles.doc has all the styles defined that you will need. If your document already has some styles applied, copy it into zeo06_styles.doc. Then on the top menu bar, click Format and select Styles and Formatting. This brings up a window on the right-hand side of your document. Delete all the styles that don't begin with "Zeo" by right-clicking the style and selecting Delete. To apply the styles, position your cursor anywhere in the paragraph you wish to format and then click the style on the right.

If you cannot use Styles, please format your document according to the following specifications. Examples of properly formatted abstracts in MS Word are here. Instructions for graphics are here.

Document Specifications

  • Maximum length: 2 pages (Do not number pages.)
  • Paper size: Letter (Engineering size A), 8.5 inches wide by 11 inches high
  • Margins: 1.5 inches all around
  • Font: Times New Roman
  • Title: Bold, only first letter capitalized, 16 point, left justification
  • Authors: Bold, 12 point, left justification
  • Affiliations and address: Italics, 10 point, left justification; address lines separated with semicolons
  • First author's Email address: at end of first author's afiliation line with same format, preceded by a semicolon and labeled "Email: xx@xxx.xxx"
  • Body text: 10 point, full justification
  • Indents: none for first paragraph, 0.2 inch for other paragraphs, 0.2 inch hanging indent for references at end of paper
  • Line spacing: single spacing throughout. Insert an additional space after the title, author list, affiliation list, and body text. (If using styles in the Word template, the line spacing is built in, so don't add additional space after the title, author list, etc. However, do add space above and below figures and tables.)
  • Headings (if desired): Bold, 11 point. Please restrict use to the following heading names. Do not use any other names for your headings:
    • Introduction
    • Experimental Methods
    • Results and Discussion
    • References
  • References (if desired): 10 point, full justification, hanging indent of 0.2 inches, single spaced.

References will be formatted in the style of Clays and Clay Minerals. The instructions are reproduced here:

References are cited in the text by the name of the author and the year of publication, e.g., Noh (1998) or Brandt and Kydd (1998). For references with more than two authors, use ‘‘et al." as in White et al. (1992). Citations in parentheses must include a comma, e.g., (White et al., 1992).

Full references are listed alphabetically by author at the end of the paper and with the year in parentheses. For several publications of an author with different co-authors the following order must be followed: (a) publications of the author alone, in chronological order; (b) publications of the author with a single co-author, in alphabetical order of co-authors; (c) publications of the author with more than one co-author, in chronological order (as they are cited in the form ‘Jones et al.‘ in the text). The name of the author is given surname first, followed by a comma and the initials, with each initial followed by a period and without a space between initials. Do not abbreviate journal names. Volume numbers are in bold. For example:

Jahren, J.S. (1991) Evidence of Ostwald ripening related
recrystallizations of chlorites from reservoir rocks offshore
    Norway. Clay Minerals, 26, 169-178.
Koizumi, M. and Roy, R. (1959) Synthetic montmorillonoids with
variable exchange capacity. American Mineralogist, 44, 788-
    805.
Reynolds, R.C. (1980) Interstratified clay minerals. Pp. 249-303 in:
Crystal Structures of Clay Minerals and Their X-ray
    Identification
(G.W. Brindley and G. Brown, editors).
    Monograph 5, Mineralogical Society, London.
Weaver, C.E. and Pollard, L.D. (1973) The Chemistry of Clay
    Minerals
. Elsevier, Amsterdam, 213 pp.
Kalt, A. (1968) Une silice hydratee cristallisee: Preparation,
structure, proprietes chimiques. Ph.D. thesis, Universite de
    Strasbourg, Strasbourg, France, 197 pp.

Arrange multiple references with the same first author chronologically. Personal communications or other unpublished observations may be cited in the text, such as: (J. Jones, pers. comm., 1996) or (J. Jones, unpublished data, 1996).

For more examples of correctly formatted references, see a sample issue of Clays and Clay Minerals.

  • Tables, if desired: Use only horizontal rules: One at the top of the table, one separating the table header from the data, and one at the end of your table. Additional horizontal rules may be used in the table header for grouping columns with similar headings, but don't use them to separate individual rows. Separate columns with TABS, not spaces.
  • Table captions: 9 point, full justification, at top of table. "Table n." bolded and followed by one space will precede the caption text.
  • Figure captions: 9 point, full justification, at bottom of figure. "Figure n." bolded and followed by one space will precede the caption text.

Document Style

Below are some basic rules you should follow in formatting your abstract.

  • Use only 1 space after periods.
  • For items in a series, use the serial or "Oxford" comma. For example, "Types of rocks are sedimentary, igneous, and metamorphic."
  • Use a hyphen to hyphenate words, an en dash to separate number ranges, and an em dash to set off text like a comma or semicolon. For example, "The color-coded chart covered a range of 1256 colorsall quite colorful."

Use the The Chicago Manual of Style as a guide in answering other questions about style.

If you still have questions about document formatting or style, please email me at sdelap@nmt.edu. As I receive questions, I will add them here or post them along with answers on an Abstract Formatting FAQs page.

Graphics Guidelines

Figures can be either black and white or 8-bit grayscale. Place figures where you want them in the text of your abstract. Reduce or enlarge the figure BEFORE inserting it into the document. The maximum width of a figure is 5.5 inches. After the figure is properly sized, ensure it is at one of the following resolutions:

  • line art: 1000 dpi
  • grayscale and line art mixed: 600 dpi
  • grayscale only: 300 dpi

If you can't embed the figures, email them separately to sdelap@nmt.edu. Preferred formats are TIFF with the same resolutions as listed above. LZW compression is okay. If the file size is larger than 20 MB, please email us first and state what program you used to create the file. We can read files created in CorelDraw and Adobe Illustrator.

Abstract Submission

Preferred document type for abstracts is Microsoft Word (*.doc), but the following formats will also be accepted: WordPerfect (*.wpd), Rich-Text Format (*.rtf), or ASCII text (*.txt). Abstracts must be formatted following the document specifications described above. Abstracts that are not in the correct format will be returned to the author for revision.

Submit your abstract by Email as an attachment to sdelap@nmt.edu. Specify the following as the subject of your email:

Subject: Zeolite 06 Abstract Submission

The BODY of your email message should include the following:

  • Name
  • Abstract title
  • Telephone number
  • Presentation preference: ORAL or POSTER

We will email you within 3 days to confirm receipt of your abstract. You will receive a followup email by April 15, 2006, to notify you if your abstract has been accepted for presentation at Zeolite '06.
